Best CRM for a Small Business in the UK: Seven Compared (2026)
Which CRM fits your team? There is no single best CRM for a small business in the UK. The right one depends on how your team sells, who needs to see the pipeline and which tools it has to connect to. For most teams of one to ten people, try a free or entry plan from a tool built for small teams. Load it with real contacts for a week or two, and pay only when it works for you.
Below we compare seven, listed A to Z: Capsule, Freshsales, HubSpot, monday CRM, Pipedrive, Salesforce Starter Suite and Zoho Bigin. A disclosure first. CodeLeap does not sell or resell any CRM, and we are not a partner of any of these vendors. We do build bespoke CRMs and connect CRMs to other software, from £5,000 for two systems with our systems integration service, so weigh our advice with that in mind. Facts and prices come from each vendor’s own pages as we read them on 1 November 2026. The list is not a ranking, and a vendor can tell us if a detail is out of date.
Key takeaways
- No CRM is best for every UK small business. Choose on how your team sells, the integrations you need and the price at the size you expect to reach.
- Entry paid plans in this comparison run from £5 to £20 per user per month in pounds. HubSpot’s page showed US dollars, so we quote it in dollars.
- The feature you need often sits one plan up, so price the plan you will actually use.
- Trial two or three CRMs with real contacts for a week, check the Xero and email links, and test an export before you commit to a year.
- If your CRM works but staff still retype data between tools, connect the tools first. A bespoke CRM is for when the process is the product.
What does a small business need from a CRM?
Five things cover the basics for most small teams, and everything else can wait until you miss it.
- One record per customer. Contacts, companies, notes and history in one place, instead of spread across inboxes and spreadsheets.
- A pipeline you can see. Deals move through stages, and anyone can tell what is due this week.
- Email on the record. Messages are logged against the contact, by sync or a shared mailbox, so a colleague can pick up a conversation.
- A route to quotes and invoices. Either built in or linked to your accounting software, so details are typed once.
- Reporting you will read. A short view of deals won, deals at risk and where leads come from.
Complex automation, AI agents and custom data models can wait. A small team that buys them on day one pays for features it has not yet found a use for.
What hidden costs should you check before you buy a CRM?
The price on the front page is rarely the whole bill. At the time of writing (November 2026), Pipedrive’s Lite plan is £14 per seat per month billed annually and £24 billed monthly (Pipedrive pricing). monday CRM’s Basic plan is £10 on its yearly setting and £13 on its monthly one (monday CRM pricing). Check five things before you start a trial.
- Billing period. Annual billing costs less per month and commits you for a year.
- The next plan up. The feature you need often sits one plan higher. Capsule lists automatic email logging and workflow automations from Growth (£27, against £14 for Starter). monday CRM lists email sequences on Pro (£24 against £10 for Basic). Salesforce lists sales quoting and forecasting under Pro Suite (£80 against £20).
- Onboarding fees. HubSpot’s page says the Sales Hub Professional price excludes a required one-time onboarding fee of $1,500.
- Add-ons and credits. Pipedrive prices extras such as its LeadBooster add-on separately, from £32.50 as shown. Freshsales lists its Freddy AI Agent add-on at £36 per 100 sessions.
- Seat minimums and tax. monday CRM plans start from 3 users. Pipedrive and monday CRM say their prices exclude VAT or tax, and HubSpot says its prices are subject to applicable tax. Check how VAT applies to you.

What does a five-person team pay for a CRM?
On the entry plans priced in pounds, between £300 and £1,200 a year. This table is illustrative. It uses the list prices above for five users over 12 months on annual billing, with no add-ons, discounts or VAT. HubSpot’s row is in dollars and unconverted, and it uses the normal $20 Starter price without the new-customer discount.
| CRM | Entry plan, 12 months | Next plan up, 12 months |
|---|---|---|
| Capsule | £840 (5 × £14 × 12) | £1,620 (Growth, 5 × £27 × 12) |
| Freshsales | £420 (5 × £7 × 12) | £1,740 (Pro, 5 × £29 × 12) |
| HubSpot | $1,200 (5 × $20 × 12) | $5,400 (Sales Hub Pro, 5 × $90 × 12) |
| monday CRM | £600 (5 × £10 × 12) | £840 (Standard, 5 × £14 × 12) |
| Pipedrive | £840 (5 × £14 × 12) | £2,340 (Growth, 5 × £39 × 12) |
| Salesforce | £1,200 (5 × £20 × 12) | £4,800 (Pro Suite, 5 × £80 × 12) |
| Zoho Bigin | £300 (5 × £5 × 12) | £600 (Premier, 5 × £10 × 12) |
The jump to the next plan runs from 1.4 times at monday CRM to 4.5 times at HubSpot’s Sales Hub Professional, before its $1,500 onboarding fee. A cheap plan is the right plan only if it holds the features you listed earlier.
Which CRM should you look at first?
Pick by situation. Each pointer is a starting place for a trial, and the others may still fit.
- A simple customer record for one to five people: look at Capsule, Zoho Bigin or Freshsales first.
- A sales team that lives in a deal pipeline: look at Pipedrive first.
- Marketing, sales and service in one platform: look at HubSpot first, and expect a larger bill as you grow.
- Quotes and invoices inside the CRM, and a team that likes boards: look at monday CRM first.
- A plan to grow into Salesforce: start with Starter Suite, and compare it with HubSpot before you commit.
- Xero at the centre of your finances: Capsule’s page lists a direct Xero integration. Read the others’ integration lists before you trial.
How do you choose a CRM in one week?
Trial lengths on these pages are 14 days at Capsule, monday CRM and Pipedrive, 15 at Zoho Bigin, 21 at Freshsales and 30 at Salesforce, so one week fits inside any of them.
- Day one: write down how you sell. Note where leads arrive, who follows up, what you send and how you invoice. This is your test script.
- Day two: shortlist two or three. Use the situation list above and your five-user cost, including the next plan up if a feature sits there.
- Days three to five: trial with real data. Import a few dozen real contacts, run two live deals through the pipeline and have everyone who will use it log in.
- Day six: check the connections. Test email, calendar, web forms and accounting software, and ask which plan includes each one.
- Day seven: test the exit. Export your data and see what comes out. If you cannot take your records with you, treat that as a cost.
When should you connect your CRM to your other tools?
Connect it when staff retype the same details into a second system. A signed contract that never reaches the CRM, or a won deal invoiced by hand in Xero, is the kind of gap that costs small teams time. Start with native integrations, then a simple automation tool, and only then custom work. Our own page says that if two of your systems already sync natively, we will tell you to switch that on.
We did this for an international events group running 20+ exhibitions. We connected Pipedrive, SmartDocs and Xero without replacing any of them. Signature detection updates the CRM, a multi-event agreement splits into separate deals, and the invoice is raised in Xero on signature. That is around 500 invoices a month that no longer get typed by hand. Our guide to Xero integration covers the finance side.
Our systems integration service connects two systems from £5,000, scoped and fixed price, and a business-wide integration starts from £12,000. Named enterprise platforms such as Salesforce go through our enterprise software integration service, where an integration build starts from £10,000.
When does a bespoke CRM make sense?
Rarely for a team this size. It earns its cost when your records fit no vendor’s model, or when the CRM is part of a product your own clients use. It can also pay off when per-seat licences across a large team cost more than owning the software. Our bespoke CRM guide has the licence maths. Bespoke software discovery and design starts from £4,000, and a build from £15,000. If one of the seven above fits your process, buy it.
Your next step
Before you start a trial, write the one-page version of how you sell from day one above, and list the tools your CRM must talk to. That page decides your shortlist faster than any feature table. Trial two or three tools against it for a week.
If the list shows two systems that need to share data, or a process the off-the-shelf tools handle badly, a free 20-minute consultation will tell you whether to configure, connect or build. Our systems integration page shows what a connection from £5,000 covers.
Frequently asked questions
What is the best CRM for a small business in the UK?
There is no single best one. Capsule, Freshsales, HubSpot, monday CRM, Pipedrive, Salesforce Starter Suite and Zoho Bigin each suit a different kind of team. Choose on how you sell, the integrations you need, such as Xero, and the price at the size you expect to reach. Trial two or three with your own contacts for a week before you pay.
What is the cheapest CRM for a small business in the UK?
Several have free plans. Capsule, HubSpot and Zoho Bigin list one, and Salesforce lists a Free Suite at £0. Among the entry paid plans priced in pounds, Zoho Bigin's Express is lowest at £5 per user per month billed yearly, then Freshsales Growth at £7. Check what each plan limits, because the cheapest plan often lacks the feature you need.
How much does a CRM cost for a small business in the UK?
The entry paid plans we compared run from £5 to £20 per user per month in pounds, plus HubSpot's Starter at $20 per seat per month in US dollars. For five users that is £300 to £1,200 a year on the entry plan, before add-ons and VAT. The next plan up costs more, and HubSpot's Sales Hub Professional adds a required $1,500 onboarding fee.
Do I need a CRM, or is a spreadsheet enough?
A spreadsheet is enough while one person tracks a short list of contacts. Move to a CRM when several people update the same records, follow-ups depend on someone remembering, or you retype the same details into email and invoices. Six of the seven CRMs here list a free trial of 14 to 30 days, so you can test with real contacts before paying.
Can a small business CRM connect to Xero?
Often, but check the exact plan. Capsule's pricing page lists a direct Xero integration on its Starter plan. Zoho Bigin's page lists Zoho Books, Zoho Invoice and QuickBooks integrations and does not mention Xero. For the others, read the vendor's integration list before you trial. If no native link fits, we connect two systems from £5,000.
