HubSpot vs Salesforce for UK Businesses: Cost, Fit and Trade-offs
Which CRM fits how you sell? In the HubSpot vs Salesforce decision, we think HubSpot is the easier place to start for most UK businesses. Salesforce is the better fit when the sales process is complex and someone will own the configuration. Entry prices look close: HubSpot’s Sales Hub Starter normally lists at $20 per seat per month, and Salesforce’s Starter Suite at £20 per user per month. The gap opens higher up, where HubSpot adds required one-off onboarding fees and Salesforce adds editions and add-ons.
This guide compares who each suits, list prices for 5 and 20 users, setup effort, API limits, UK data hosting, AI and switching, then covers when neither fits. We are not a partner or reseller of either vendor. We work with both, and our enterprise software integration service starts with an audit from £4,000.
Key takeaways
- HubSpot is usually the quicker start for a small team without a CRM administrator. Salesforce rewards a complex sales process and someone who owns the configuration.
- Entry list prices look alike per head ($20 against £20, in different currencies). HubSpot’s Professional and Enterprise Sales Hub plans add required one-off onboarding fees, and the Salesforce UK page we read shows none.
- HubSpot’s pricing page showed US dollars only and Salesforce’s UK page showed pounds, so compare them yourself in one currency.
- HubSpot publishes API limits by tier. Salesforce’s pricing table leaves the Web Services API out of Starter Suite, charges extra for it on Pro Suite and includes it from Core.
- A very small team, or a business whose process is the product, may be better served by a lighter CRM or a bespoke build.
Which suits a UK business: HubSpot or Salesforce?
HubSpot suits teams that want to be selling within weeks and have nobody whose job is CRM administration. Salesforce suits teams with a complex sales process and an administrator, or a partner, to own the configuration. These are our judgements rather than vendor claims, so test them against your own pipeline.
Choose HubSpot first when marketing drives your leads and you want marketing, sales and service in one product. HubSpot sells those as separate hubs. Marketing Hub Professional starts at $800 a month including 3 Core Seats and 2,000 marketing contacts, with a required one-time onboarding fee of $3,000 (HubSpot).
Choose Salesforce first when your sales process has several stages, approvals and record types that must be modelled exactly. It also suits teams that expect to build custom apps and integrations on it. Its sales pricing page lists greater customisation and automation on Pro Suite than on Starter Suite.
Either works for a small team with a standard pipeline of leads, deals and follow-ups. Then the deciding factors are the price at your headcount, the integrations you need and which interface your team prefers after a trial with real data.
How much do HubSpot and Salesforce cost in the UK?
At the time of writing (November 2026), HubSpot’s Sales Hub runs from free to $150 per seat per month. Salesforce’s sales plans run from £0 to £440 per user per month. These are list prices from each vendor’s own pricing page, which we read on 1 November 2026. HubSpot’s page showed US dollars only, so we quote dollars as shown and do not convert them. Salesforce’s UK page shows pounds.
| HubSpot Sales Hub plan | Price as shown (USD) | Notes |
|---|---|---|
| Free | $0 | Up to 2 users |
| Starter | $20 per seat per month | New customers: $7 to $10 for a limited time |
| Professional | From $90 per seat per month | $1,500 onboarding, required |
| Enterprise | From $150 per seat per month | $3,500 onboarding, required |
The Starter row follows HubSpot’s own FAQ, which gives $20 as the normal price and $7 (annual payment upfront) or $10 (month to month) as new-customer offers (HubSpot). HubSpot’s Sales Hub page shows a second Professional figure of $100 per seat per month beside the $90, under a Pay Monthly option that commits you for a year.
| Salesforce sales plan | Price as shown (GBP) | Billing |
|---|---|---|
| Free Suite | £0 per user per month | No charge |
| Starter Suite | £20 per user per month | Monthly or annual |
| Pro Suite | £80 per user per month | Annual |
| Core | £156 per user per month | Annual |
| Advanced | £316 per user per month | Annual |
| Max | £440 per user per month | Annual |
Those are the prices on Salesforce’s UK sales pricing page.
What fees and add-ons sit on top?
Onboarding. HubSpot requires a one-time fee on Sales Hub Professional and Enterprise, as the table shows. The Salesforce UK page we read shows no required onboarding fee, but a partner or consultant will charge separately if you use one.
Seats. HubSpot’s paid Sales Hub plans are priced per seat. Starter uses Core Seats, Professional and Enterprise use Sales Seats, and view-only seats are free.
Tax. HubSpot says its prices are subject to applicable tax. Budget for VAT on both vendors.
Add-ons. Salesforce sells AI and API access as separate lines, covered below. HubSpot’s Marketing Hub, if you add it, is priced on its own page.
What would 5 and 20 users pay in a year?
The table below is illustrative. It multiplies each list price by the seat count and 12 months, adds HubSpot’s one-time onboarding fee to year one, and leaves out VAT, discounts, add-ons and partner fees. We paired plans by price position and ignored feature differences, because the products are not like for like. Dollars and pounds are not converted.
| Plan (price per seat per month) | 5 users, year one | 20 users, year one |
|---|---|---|
| HubSpot Starter ($20) | $1,200 | $4,800 |
| Salesforce Starter Suite (£20) | £1,200 | £4,800 |
| HubSpot Professional ($90 + $1,500) | $6,900 | $23,100 |
| Salesforce Pro Suite (£80) | £4,800 | £19,200 |
| HubSpot Enterprise ($150 + $3,500) | $12,500 | $39,500 |
| Salesforce Core (£156) | £9,360 | £37,440 |
From year two HubSpot’s onboarding fee drops out, so 20 Professional seats cost $21,600 a year. Moving up a tier changes the bill sharply. For 20 users, Salesforce Core costs nearly twice Pro Suite (£37,440 against £19,200). Seat price is only part of the bill: configuration time, an owner for the system and integration work all cost money too.
Does either need an administrator or a partner to set up?
HubSpot builds setup help into its upper plans, and Salesforce leaves more to you or a partner. The required onboarding fees tell you HubSpot expects guided setup on Professional and Enterprise. Salesforce’s UK page shows no such fee, but a platform you can configure deeply still needs an owner. Whichever you pick, name one person who owns the fields, pipelines and reports from day one.
Customisation is where the plans diverge. HubSpot’s custom objects, for records that do not fit its standard objects, are available only at the Enterprise tier of each hub (HubSpot Knowledge Base). If your records are unusual, that pushes HubSpot into Enterprise pricing. Salesforce lists greater customisation and automation from Pro Suite.
Salesforce also changed its editions this year. It announced Core, Advanced and Max on 3 September 2026 and says existing customer pricing on legacy editions remains unchanged (Salesforce). If you already run a legacy edition, ask for a comparison with the new ones at renewal. Comparison articles written before September use the older edition names, so check any price against the vendor’s page.
Integrations, API limits and UK data hosting
Both platforms have APIs, but HubSpot publishes its limits by tier, while Salesforce’s API access depends on your plan, so confirm it in writing before you design an integration.
What are the API limits?
HubSpot’s usage guidelines list rate limits for every tier from Free upwards. These are the limits for privately distributed apps (HubSpot Developers).
| HubSpot tier | Per 10 seconds, per app | Per day, per account |
|---|---|---|
| Free and Starter | 100 | 250,000 |
| Professional | 190 | 625,000 |
| Enterprise | 190 | 1,000,000 |
The daily limit is shared by every app connected to the account. HubSpot also sells an API limit increase that adds 1,000,000 calls a day for each increase, up to two. Build queues and back-off into any integration so a limit slows it down instead of breaking it.
For Salesforce, the comparison table on the UK sales pricing page does not list the Web Services API on Free Suite or Starter Suite. It shows it on Pro Suite for an “Additional $25 USD/user/month” and includes it in Core, Advanced and Max. If you run a legacy edition, ask Salesforce to confirm API access for your plan in writing. Our guide to API integration covers how vendors gate access by plan and what to check first.
It is also worth asking before you assume an upgrade. For SBU, a UK energy broker, we built automation across Salesforce, an LLM and the client’s email. Salesforce API access was negotiated on the existing plan, so there was no tier upgrade.
Where can UK data be stored?
Salesforce lists the UK among its Hyperforce regions. It says customer data is stored in the country where the org is located, provided the services in use are available in that country (Salesforce).
HubSpot’s data-centre page lists a European Union data centre and says HubSpot has no immediate plans for additional ones. We found no UK-specific option on it. HubSpot assigns new paid customers a location from their IP address at sign-up and puts free-only users in the United States. Existing paid customers can migrate in account settings at no charge (HubSpot). If UK-only storage is a contractual requirement, ask each vendor to confirm the region in writing. This is not legal advice.
How do HubSpot and Salesforce use AI?
Both vendors charge for AI on top of seats, so price it separately. HubSpot says many of its AI features and agents run on HubSpot Credits, which you can buy in advance or pay for as you go (HubSpot). Paid Sales Hub plans include credits at no extra cost: 500 on Starter, 3,000 on Professional and 5,000 on Enterprise. Extra credits cost $0.010 each (HubSpot).
Salesforce’s sales pricing page says AI can be added to Core and above. It lists Agentforce for Sales as an add-on from £100 per user per month and shows it as part of Max (Salesforce).
Treat all of it as a trial. Switch an AI feature on for one team, measure it against the manual way, and keep it only if it saves time. Neither vendor’s AI will repair a pipeline full of duplicate and stale records.
How hard is it to switch between HubSpot and Salesforce?
Switching is a data-mapping exercise first and a tool exercise second, and the cheapest moment is a renewal date. The route is the same in either direction:
- Decide what moves. List the objects, fields, pipelines, automations and reports your team really uses. Leave the rest behind.
- Export and clean. Merge duplicates and fix company names before you move anything.
- Map fields. Match each old field to its new home, including picklist values and owners.
- Import in order. Load companies, then contacts, then deals, so the links between them survive.
- Rebuild the logic. Automations, scoring and permissions are built on each vendor’s own engine, so plan to rebuild them rather than copy them.
- Run both, then cut over. Keep the old system read-only until you are sure nothing is missing.
Decide early whether email, call and note history comes across, because it needs its own plan. Connections to accounting, contracts and email need re-pointing as well. Mapping them first is the job of an integration audit and plan, which our enterprise software integration service offers as a fixed-scope first step.
When neither HubSpot nor Salesforce fits
Two cases come up. For a very small team with a simple pipeline, a lighter CRM such as Pipedrive or Zoho may cost less and be quicker to learn. Our guide to the best CRM for a small business in the UK compares those options on published prices.
When your process is the product, for instance because your records fit no vendor’s model or your clients log in to the CRM, a bespoke build can beat renting. Our bespoke CRM guide covers build versus buy and the per-seat maths. Our bespoke software service starts with a discovery and design stage from £4,000.
There is a third option: keep the CRM you have and connect it. For an international events group we connected Pipedrive, SmartDocs and Xero without replacing any of them.
Next step: trial both with your own data
The quickest way to decide is a short trial with a real export of your contacts and deals, run by the person who will use the system daily. Before you sign, get three answers from each vendor in writing:
- A quote in your billing currency, with onboarding fees and add-ons listed.
- Confirmation that your plan includes API access.
- The region where your data will be stored.
If you want help mapping your process to the right CRM and the integrations it needs, book the free consultation below. Our enterprise software integration service starts with an integration audit and plan from £4,000, and an integration build starts from £10,000. If the honest answer is to stay on the CRM you have, we will say so.
Frequently asked questions
Is HubSpot cheaper than Salesforce?
At entry level they are close. HubSpot's Sales Hub is free for up to 2 users and Starter is normally $20 per seat per month, while Salesforce's Starter Suite is £20 per user per month. Higher up, HubSpot's Professional and Enterprise plans add required onboarding fees of $1,500 and $3,500, and Salesforce adds editions and add-ons. HubSpot's page shows US dollars, so compare like with like.
Which is better for a small UK business, HubSpot or Salesforce?
Neither is better for everyone. HubSpot is usually the easier start for a small team without a CRM administrator, particularly when marketing drives the leads. Salesforce fits better when the sales process is complex and someone will own the configuration. Trial both with real data, and price your team size on each vendor's own pricing page before you decide.
Does HubSpot have a UK data centre?
HubSpot's data-centre page lists a European Union data centre and says it has no immediate plans for additional ones. We found no UK-specific option on it. Salesforce lists the UK among its Hyperforce regions and says customer data is stored in the country where the org is located, if the services you use are available there. Ask each vendor to confirm in writing.
Can you migrate from Salesforce to HubSpot, or the other way?
Yes. Treat it as a data-mapping job. Decide which objects and fields move and clean duplicates first. Import in an order that keeps the links between companies, contacts and deals. Rebuild automations and reports, then run both systems side by side before cutting over. Connections to other systems need re-pointing too. A renewal date is the cheapest moment to switch.
Do HubSpot and Salesforce charge setup fees?
HubSpot's pricing page lists a required one-time onboarding fee on Sales Hub Professional ($1,500) and Enterprise ($3,500), and on its Professional and Enterprise Marketing Hub plans. The Salesforce UK pricing page we read shows no required onboarding fee, though implementation partners charge separately. HubSpot's prices are in US dollars and subject to applicable tax, so add VAT when budgeting.
