CodeLeap automated contract management, sales pipelines and invoicing for a media group running exhibitions and events across the UK and US — entirely inside the tools they already used, replacing around 500 invoices a month raised by hand.
Deal to invoice, on its own. Our client organises large exhibitions and events across the UK and US, selling exhibition space to hundreds of companies. Sales ran in Pipedrive, contracts went out through SmartDocs, and the finance team raised around 500 invoices a month by hand in Xero. Each tool did its job, but the gaps between them were manual and slow — contract status chased in one system, invoice details re-keyed in another. We connected the three so the pipeline moves itself.

Signed-contract status in the CRM
SmartDocs sends each contract, but the team couldn’t tell in Pipedrive whether it was signed. The integration detects a signature, matches the contract back to its deal, and updates the deal’s status — so the pipeline shows where every contract stands.

Deal cards from contract documents
Standardised contract documents are parsed automatically into pre-filled Pipedrive deal cards — company name, stand dimensions and deal value pulled straight from the file — sparing the sales team the manual entry.

Xero invoicing from deal data
When a deal closes, the matching Xero invoice is raised from the deal’s own fields — value, currency, instalments and payment terms — saved as a draft for finance to review, so hundreds of invoices a month are no longer typed by hand.

Pipedrive, SmartDocs & Xero integration
Pipedrive, SmartDocs and Xero are joined into one flow, so the same deal data drives the CRM, the paperwork and the books without re-entry.
